›Why asset geolocation needs a structured workflow
Lost or stolen mobile assets cost €500+ per unit — replacement, data-breach risk, productivity loss, and failed insurance claims without location proof. Geofencing alerts prevent losses by catching unauthorized movement the moment it happens, not at the next annual audit.
Without a structured workflow, location data is whatever the last email said — and geofencing, movement alerts and audit reconciliation are manual or absent.
Utilyx models asset geolocation as an executable decision tree with tracking, movement alerts, geofencing zones, recovery routing and physical audit reconciliation.
›The automated geolocation workflow
The workflow is structured as a decision tree with 4 main branches (Tracking, Alert Routing, Recovery, Audit) running on a configurable cadence (daily, on movement, on demand), with parallel alert sub-branches and 8 steps end-to-end. Every step is executed by a named actor (Device Agent, AI Copilot, Security, Asset Owner) and every action is appended to the timeline_location audit subtable.
- Step 1 (Start — Device Agent): enrolled mobile assets report their location via sql-query into the asset_location table with fields asset_id, latitude, longitude, timestamp, zone_id, reported_by — on a configurable cadence (daily, on movement, on demand).
- Step 2 (Geofence check — AI Copilot): the Copilot compares the reported location against authorized geofences (office, home_office, restricted_zone) and splits — Branch A (inside authorized zone): update last_seen, no alert; Branch B (outside authorized zone = geofence breach): trigger movement alert.
- Step 3 (Movement alert — email): the Copilot sends an email alert to the asset owner and security with asset_id, last_known_position, breach_type (geofence_exit / after_hours_movement / restricted_zone_entry). Sub-branch: if breach_type is restricted_zone_entry, escalate to CISO immediately.
- Step 4 (Recovery routing — AI Copilot): missing or out-of-zone assets trigger recovery tasks. The tree splits on asset value — Branch A (asset_value < €500): assign recovery to asset owner; Branch B (asset_value ≥ €500 or high criticality): assign to security + file incident report.
- Step 5 (Recovery tracking): recovery tasks are tracked via sql-query on the recovery_task table with fields asset_id, assigned_to, status, recovery_deadline — to closure.
- Step 6 (Physical audit reconciliation): at audit time, the workflow compares expected_zone vs detected_zone for all enrolled assets and produces a discrepancy_list for the audit team.
- Step 7 (usePDF location report): usePDF generates a location report with asset, last known position, zone status and audit reconciliation — for audit and insurance, in 7 languages.
- Step 8 (useArchive): useArchive retains every location event and audit snapshot in a tamper-evident record with index fields asset_id, zone_id, breach_type, scan_date.
›Concrete benefits
Teams using Utilyx cut lost/stolen asset costs from €500+ per incident to near-zero (geofencing alerts catch breaches in real time, before assets disappear), reduce missing-asset rates from 15% to under 2%, speed up physical audits by 80% (discrepancies pre-identified) and produce insurance-grade location evidence on demand.
The no-code designer and AI copilot let a security or IT manager build the geolocation workflow in one session — no custom development, at 70% lower TCO than legacy asset-tracking platforms.

Frequently asked questions
Does the workflow support geofencing?
Yes. The workflow enforces geofences (office, home-office, restricted zone) and flags any asset leaving its authorized zone, with alerts to the owner and security.
Can the AI detect unexpected movement?
Yes. The copilot detects movement outside expected patterns (e.g. an asset leaving its assigned site outside business hours) and alerts the asset owner and security automatically.
Can I export a location report for insurance?
Yes. usePDF generates a location report with asset, last known position, zone status and audit reconciliation in any of the 7 supported languages, archived via useArchive.
